Position Summary

The receptionist promotes and supports the mission of Insight for Living Ministries (IFLM) by faithfully representing the beliefs and values of the ministry while interacting with constituents and vendors on behalf of the ministry. Demonstrating hospitality and grace, the receptionist receives phone calls and greets visitors with utmost care and compassion. The receptionist also assists with various administrative projects, including processing resumes, reviewing qualifications for hire; handling new hire applications; training relief receptionists; and assisting as needed in the Finance Department and Fulfillment Center. As a member of the Human Resources Department, the receptionist has a responsibility to bear the fruit of the Spirit and to accurately express the ministry’s beliefs and values in all interactions with constituents, staff members, and vendors.

Core Job Functions

Customer Service and Professionalism

  • Patiently and carefully listens to all components of communication from every internal and external constituent
  • Accurately identifies and confirms constituent needs
  • Responds with respect to visitors and employees who stop by the front desk, acknowledging each person with a warm welcome
  • Interacts with visitors who sit in the waiting area
  • Provides simple, effective solutions that enhance the relationship with each constituent
  • Handles sales calls firmly but with grace
  • Answers phone by third ring and with confidence
  • Offers “mini tours” of the building area and provides visitors with welcome packets

Administrative and Project Support

  • For Human Resources:
    • Provides administrative assistance, including updating files and other needs as directed by the Manager of Human Resources
    • Processes resumes and sends acknowledgements to all applicants
    • Updates volunteer/temp packet information by making sure the most up-to-date forms and information are included
    • Handles new-hire processes by preparing folders, packets, and other first-day items as needed
    • Sorts and routes mail on a daily basis
    • Interfaces with building management for vehicle information and access cards
    • Maintains accurate and up-to-date files
    • Prints filing labels as necessary
    • Keeps supplies stocked
    • Acts as a back-up for other receptionist(s)
  • For other departments:
    • Finance: provides check verification and data entry into Excel spreadsheets
    • Fulfillment: assists with mail preparation and processing returns
    • Living Bridge Media: assists with opening radio invoices by putting them in alphabetical order before routing to the department for payment
    • Special Events: assists with special mailings as needed

  • Proficiency in MS Office Suite
  • Ability to type 35 wpm
  • Ability to sit for long periods of time
  • High school diploma
  • Some college preferred
  • One to three years related experience
  • Regular and timely onsite attendance required

This is a part-time position—16 hours per week (two full days per week).
