Position Summary

The Donor Relations assistant works under the supervision of the senior vice president and chief Donor Relations officer to ensure that the department runs smoothly and that Insight for Living Ministries (IFLM) develops and maintains excellent relationships with its donors. The assistant prepares correspondence and ensures that all administrative tasks for the department meet IFLM standards and protocols. A motivated self-starter, this individual also manages the Donor Relations departmental calendar and those of the Donor Relations officers (DROs) while assisting with their travel arrangements. As a member of the Donor Relations Department, the assistant has a responsibility to bear the fruit of the Spirit and to accurately express the ministry’s beliefs and values in all interactions with constituents, staff members, and vendors.

Core Job Functions

Administrative

  • Prepares monthly variance report and codes all invoices for the department
  • Orders office supplies for the department as needed
  • Picks up the mail from Reception as needed
  • Collects CCTs and other documents from the Customer Service Department

Coordination

  • Edits DROs’ visit notes in a meaningful format and records them in OneNote and MPX
  • Coordinates with DROs to ensure audio, print, and video materials are available when needed
  • Records materials given to donors by DROs to ensure no duplicate gifts
  • Manages physical and electronic departmental file structures and coordinates such file structures with other departments when appropriate
  • Maintains calendars and schedules for DROs
  • Understands and appropriately implements third-party vendor services in the Donor Relations Department
  • Executes a broad range of objectives and special projects at the direction of the senior vice president and chief Donor Relations officer
  • Prioritizes work flow for maximum effectiveness, productivity, and efficiency
  • Identifies departmental needs and proposes creative action plans, considering current priorities and future opportunities and changes

Correspondence

  • Prepares mailing lists from segmentation reports for special mailings
  • Stuffs and stamps DROs’ correspondence
  • Prepares Christmas gifts, premiums, and other special gifts for high donors
  • Coordinates with DROs birthday, anniversary, and other cards for high donors

Position Specifications

Job Qualifications

  • Bachelor’s Degree or specialized training in a related field
  • At least one year's related experience as an administrative assistant
  • Ability to lead initiatives and juggle several complex projects at one time
  • High attention to details and superior organization skills while multitasking
  • Professional interpersonal skills
  • Humility, a high level of flexibility, a positive attitude, and the ability to work well with others
  • Strong customer service orientation and demeanor
  • Excellent phone presence with the ability to set up meetings in a highly professional, polite, and warm manner
  • An ability to anticipate and prioritize work with minimal direction
  • An understanding of and ability to maintain confidentiality
  • Intermediate proficiency with Microsoft Office, particularly Excel and OneNote
  • Membership and attendance at Stonebriar Community Church in Frisco, Texas, preferable

This is a full-time position—40 hours per week.
